Challenges of Growth Required Operational Change

Founded in 2018, Maya Delorez initially embraced the all-manual order processing typical of start-ups. But as their success took off at a galloping speed, the brand faced the classic challenges of growth: manually managing inventory balances, navigating through packing slips, searching for products in the warehouse by eye, and printing shipping labels one at a time. Such tasks became increasingly time-consuming and labor-intensive, making the existing operational approach unsustainable.

Recognizing the need for a more efficient and controlled way of working, the journey towards an operational upgrade commenced. "It was the right time for us to acquire a proper system where we could have an overview of our entire warehouse and the logistics. We wanted a smooth and simple system and felt that Ongoing could meet our requirements and wishes," said Maja Törnblom.

Seamless Integration with Additional Systems

Transitioning from manual to automated processes came to be a game-changer. "We now use Ongoing WMS daily for all our warehouse management, which primarily includes packing orders, handling deliveries, returns, and inventory. We have implemented Centra and nShift, and the different systems work excellently together," Törnblom elaborated. The seamless integration to their other systems managing their operations elevated the operational capacity of Maya Delorez, marking a significant leap in their logistical capabilities from how it used to be back in their manual days.

The shift to Ongoing WMS has brought about numerous benefits, especially the centralization of information and the automation of processes. "The biggest advantage is that all our information is gathered in one place, which increases accessibility and saves time. Automation of processes reduces the risk of errors. In addition, the overall controllability to quickly identify and resolve problems as well as to make informed decisions based on real-time data," Törnblom highlighted.

Uncomplicated and Streamlined Communication

The collaboration between Maya Delorez and Ongoing has been characterized by smooth communication and efficient problem-solving. "We have experienced the collaboration as smooth with quick and efficient solutions. There are never any problems, and the communication is straightforward and clear," reflected Törnblom.

Since they adopted the WMS in 2021, Frida Eriksson has served as Maya Delorez's dedicated Customer-Responsible Software Engineer and primary point of contact. Conversely, Maja Törnblom has taken on the role of Ongoing's superuser, greatly streamlining the communication process. Eriksson shared her perspective on this dynamic: "The collaboration between me and Maja has been going very smoothly. As a superuser, she has efficiently managed all interactions with me as a developer. This means she consolidates questions and requests from the warehouse team, organizes them, and then relays them to me. Thanks to her clear and well-formulated requests, developing and implementing the necessary solutions have been straightforward."

Royal Design Uses Ongoing WMS

Royal Design & Ongoing WMS: The E-commerce Giant's Encounter with Logistic Innovation

When the e-commerce giant in design and home decor, Royal Design, underwent strong growth, it became clear that a logistical change in their warehouse management was necessary. This realization led them to Ongoing WMS, which not only met Royal Design's high demands but also offered innovative solutions that came to exceed their expectations.

From Kalmar to E-commerce Giant

Royal Design's journey began in 1999 in Kalmar, with a clear vision to offer design and home decoration products for the American market. Early on, the company recognized the enormous potential of e-commerce. They therefore chose to fully commit to this strategy and expand their target market to include the Nordic countries as well. Around 2021, Royal Design had established itself as a leading e-commerce player in the Nordics within its niche. However, success also brought challenges, especially when it came to their warehouse management. For a long time, they had only worked in the warehouse management system intended for their AutoStore™. There was now a need to evaluate and upgrade the WMS, especially for handling larger products such as sofas and tables. Here, Ongoing would be of great help.

When Royal Design first got in touch with Ongoing, they were simultaneously looking at several other systems. They had many complex requirements for their future WMS provider, such as being able to integrate smoothly with Autostore and its WMS while also being able to efficiently manage the regular warehouse operations. And, of course, being able to consolidate orders between Autostore and regular picking.

Greatest Strength: Personal Customer-Responsible Software Developer

From Ongoing's side, there was never any doubt that the system could handle Royal Design's various needs. However, larger WMS clients may want the warehouse system provider to take overall responsibility and, above all, have several consultants on-site for an extended period. This is, however, not part of Ongoing's business model. In Ongoing's model, each new customer is assigned a personal customer-responsible software developer with whom they can have direct contact. Behind the personal developer, there is a team consisting of about 4 developers in total, where they often discuss clients' specific needs to come up with the best solutions.

Jimmy Rothberg, Head of Logistics / Site Manager at Royal Design, talks about their experience with Ongoing's model: "At first, we were a bit worried that we would only have one dedicated person at Ongoing to have our dialogue with during the implementation. But quite quickly, we realized that it instead became a strength to have direct contact with a software developer where we always got quick and competent responses to our many questions. I am very satisfied with the personal service regarding the development and the daily cooperation with Ongoing!"

Engineering Invention Creates Solutions

Royal Design's customer-responsible software developer Tianfu Yun shares his view on how the implementation has worked in this case with a company as large and complex as Royal Design: "Sure, compared to our smaller customers, Royal Design had a relatively long implementation process from becoming a customer until the go-live date for the warehouse, but considering how many systems and different parties were involved, I think it went very smoothly. From my perspective, I had to apply much of my knowledge in logistics but also had to be very inventive to solve their problems."

An example of engineering ingenuity from Tianfu, who has a master's degree in engineering physics from Chalmers University of Technology and has worked at Ongoing for 6 years, is during Royal Design's delivery process when carriers come and pick up pallets filled with various types of goods. The problem before was that the carrier often couldn't take all the pallets in one truck according to the correct order of operations. At the same time, it was not practical to scan and register each individual pallet being loaded into the truck. "After some back-and-forth discussion, we came up with a good solution where we simply put an incrementally increasing ID on each pallet queued for pickup, which meant that we only needed to scan the first pallet that didn't fit with the truck to know how many, and which pallets, went with the delivery."

Efficiency Processes in Continuous Development

In return for having a personal contact and software developer, Ongoing prefers to have a single-point-of-contact with the client to streamline communication. In this case, the main responsibility fell on Jimmy. "Of course, many of us at the warehouse use Ongoing WMS, and we make joint decisions regarding the development of processes and continuous improvements. In the warehouse we have our Technical and Systems lead Martin Kröger, who provides a deeper understanding of various aspects related to the WMS. We also have several system specialists who together streamline warehouse operations in different management projects, but Martin is the person who, along with me, has managed the dialogue with Tianfu about specific problems and challenges at the warehouse. For me, it is important that the entire operation develops with a focus on continuous improvements, and all employees need to constantly gain a better understanding of the process flow. This is something we have been able to accelerate thanks to fruitful dialogues with Tianfu, who then also carried out the development on Ongoing's side," he says.

A Bright Future Ahead with the Customer Promise in Focus

Jimmy concludes by talking about some of the benefits of using Ongoing: "We look a lot at data from Ongoing WMS and continuously achieve efficiencies at the warehouse based on this. For example, we have a much better track of the articles' path through the warehouse now than before. We work much more efficiently linked to many improvements that mean we do not need as much staff on site as before. Many processes that we have carried out have also been put in an automated standard that helps us further focus on the customer experience and constantly keep the customer promise in focus. We have several important projects to complete in the future that will have a major effect on the overall goal of continuously improving the customer experience and shortening delivery times. And we look forward to continued cooperation with Ongoing!"

Fredrik Einarsson, CEO of Ongoing, has also been involved from the start and offers some concluding words: "Since I know what our software is capable of, I was completely confident that Ongoing's model would suit a large customer like Royal Design. Drawing inspiration from the urban lifestyle and characterized by a signature waterproof fabric identity, Rains' collections offer a contemporary reinterpretation of the classic rubber raincoat with sustainability in mind. Central to Rains' operational prowess and strategic expansion is its collaboration with Ongoing, a partnership that has significantly bolstered their supply chain efficiency and operational agility. Hear Christopher Jarrov, Head of Supply Chain at Rains, and Jakob Nilsson, Senior Customer Responsible Software Engineer at Ongoing, comment on the WMS journey that led to logistical success.

The Selection of Ongoing WMS

Christopher Jarrov starts by providing a look into Rains' decision-making process that led to the adoption of Ongoing WMS. Up until then, Rains had exclusively been using their ERP system for their warehouse operations. Only relying on an ERP solution might sometimes be enough for smaller businesses, but as growth takes off and efficiency becomes crucial, something more powerful is often required. Therefore, faced with both substantial growth and the absence of a WMS system, Rains sought a solution that matched its specific needs for flexibility, efficiency, and growth potential.

Their decision to adopt Ongoing WMS was influenced by several key factors that stood out during their search. Jarrov explains what was pivotal in their decision: "Ongoing’s WMS was standing out on several parameters such as great support and honesty in the approach for the demo meetings, and they were at an early stage able to match Rains demands of required WMS functionalities." The system's user-friendly interface, effective location control, and seamless API integration capabilities were among the decisive factors for Rains. A 50% increase in picking performance is particularly noteworthy. This enhancement directly translates into faster order processing times, enabling Rains to handle a higher volume of orders with the same or fewer resources. This improvement in operational speed and efficiency not only supports Rains' growth ambitions by allowing for scalability but also plays an important role in improving customer satisfaction through quicker delivery times and more reliable service.

Equally significant is the 25% reduction in staffing costs. By automating routine tasks, streamlining warehouse processes, and providing employees with intuitive tools and data, Ongoing WMS has enabled Rains to optimize its labor resources. Moreover, the adoption of Ongoing WMS has bolstered the security and transparency of Rains' warehouse operations. The Journey from Start to Finish

Jakob Nilsson, who acted as a key figure in the integration and development process, shares his insights on the journey from conception to successful execution, highlighting the nuances of the project and the mutual respect that has underscored the collaboration with Rains. His experience working with Rains has been exceptionally positive, characterized by clear communication and constructive feedback. "They have been excellent to work with," he begins.

The process of integrating Ongoing WMS at Rains followed a standard setup but was distinguished by the thoroughness and organization of the Rains team. Nilsson describes the initial phase: "The process was quite typical for how Ongoing usually conducts the implementation process. Rains described their wishes and requirements for the order flow, and I explained how it could be solved in Ongoing with our various processes." A week before going live, he visited Rains on-site in Århus, Denmark, to get a better understanding of how they work in the warehouse, an insightful visit to identify what could be even further improved ahead. He also trained the warehouse staff in using Ongoing WMS' desktop and scanning module. Training is usually performed remotely by Ongoing, but upon Rains' request, Nilsson packed his bags and traveled to their warehouse in Denmark.

Nilsson also made a point to acknowledge the crucial contribution of Patrick Lyngs, IT Business Process Consultant at Rains, stating, "Patrick has played a huge part in the success of the implementation and integration of Ongoing WMS. His ability to articulate Rains' needs and structure their requirements has been key to achieving a seamless go-live process and overall satisfaction with the system."

Tailored Solutions and Special Processes

Rains' operational requirements led to the development of customized solutions within the WMS. Nilsson explains: "A unique aspect of their operation is that they use pallet items for picking their large B2B orders, which helps them keep track of what has been picked and placed in each box. Additionally, they have implemented a process where items for these large orders are picked to designated sorting areas." This process, designed to manage orders that may consist of hundreds of boxes, simplifies the operation and ensures systematic tracking of where each box related to the order is located within the warehouse.

The integration of Ongoing WMS with Rains' existing systems was another piece of the puzzle for operational synergy. "They have an integration with the shipping platform Webshipper and their existing ERP system. The connection between Ongoing WMS and Webshipper was already available via our extensive integration ecosystem. For their ERP, however, the software consultancy company nemEDI ApS built a customized integration to Ongoing WMS." These integrations facilitate a streamlined workflow, from inventory management to shipping, enhancing both efficiency and transparency.

As Rains looks to the future, the benefits of the Ongoing WMS platform are clear. "With Ongoing WMS, we at Rains have become more professional in our working procedures and processes," Jarrov concludes. Specifically, he highlighted significant savings made in developments of the integration to nShift, leveraging their carriers' strengths to save approximately 250,000 SEK (approx. €22,160 or $24,130) a single year by adjusting a setting in their rulebook. "It's hard to say in general what we've saved, but it's clearly significant amounts," he noted. Strategic adjustments in the WMS can lead to substantial cost savings, a task our skilled customer-responsible software engineers excel at, ensuring optimizations are both effective and efficient.

Collaboration with Ongoing

But he also took the time to praise other Ongoing employees whom he has been in touch with, "In addition, very pleasant staff who respond quickly, are incredibly knowledgeable, and have a tremendous understanding of what we want the end result of our cases to be."

Andreas Jönsson also comments on the collaboration: "The setup of Logistik 27 was both exciting and challenging. We had to develop a lot of new standard functionality to be able to support Logistik 27's processes. All contacts with the counterparts at Logistik 27 have always been very positive."
